1.2 Realm & Session Metadata: Internal identifiers that link you to the realms, sessions, and transcripts you create or join.

1.3 Audio & Transcript Data (Opt-In): Audio is only captured when you press Record. Audio files are stored temporarily and can be set to auto-delete after transcription is complete. Text transcripts and AI-generated scene summaries are retained until you delete them.

1.4 Usage Data: IP address, browser type, operating system, device information, and limited interaction data (e.g., page views, error logs). This data is aggregated and not used to build personal profiles.

1.5 Cookies & Similar Technologies: We use essential first-party cookies for security, session continuity, and performance. We do not use third-party advertising or cross-site tracking cookies.

2. How We Use Your Information

2.1 Provide the Service: We use your account information and realm or session metadata to create and manage your account, facilitate video and text chat, and deliver customer support.

2.2 Optional Transcription & AI Summaries: When you enable recording, we process the captured audio to create text transcripts and scene summaries that help you organize and revisit your sessions.

2.3 Improve and Secure the Service: Aggregated usage data helps us diagnose issues, monitor uptime, and enhance performance and features. We do not use this data to build advertising profiles.

2.4 Communications: We send transactional messages (such as password-reset emails or critical service notices) to operate the Service. We send marketing messages only if you have expressly opted in, and every marketing email includes an unsubscribe link.

2.5 Legal & Compliance: We may process your information to comply with applicable laws, enforce our Terms of Service, and protect the rights and safety of Realms of Shod, our users, and others.

3. Sharing Your Information

3.1 Service Providers: We share information with trusted vendors—such as hosting, database, video relay, transcription, payment, and email providers—who process data solely on our behalf and under confidentiality agreements.

3.2 No Advertising Partners & No Sale of Data: We do not sell, rent, or trade your personal information, and we do not share it with advertising partners.

3.3 Legal Requirements: We may disclose information if required to do so by law or in response to valid legal process (e.g., a court order or subpoena).

4.1 Recording Control: Recording is off by default; you decide when to enable it.

4.2 Delete Audio: You may delete stored audio at any time, or enable automatic deletion once transcription is complete.

4.3 Access & Portability: You may request a copy of your personal data in a structured, machine-readable format.

4.4 Correction & Deletion: You may update or delete your personal data, subject to legal obligations. When you delete content within the Service (such as a realm, session, or message), it is marked as deleted and no longer visible, but may persist in our database briefly before permanent removal. To request full deletion of your account and all associated data, contact us directly at info@pixelqueue.io; we will permanently remove your records upon verification.

4.5 Cookie Management: Most browsers allow you to refuse or delete cookies; please note that essential cookies are required for core functionality.

4.6 Marketing Opt-Out: You can unsubscribe from marketing emails via the link provided in those messages or adjust your settings in the app.

5. Data Retention

We retain personal data only as long as necessary to fulfill the purposes outlined in this Policy, unless a longer retention period is required or permitted by law. Audio files set to auto-delete are typically removed within minutes of successful transcription. Deleted data may remain in automated database backups for up to 10 days before it is permanently purged from all systems.

6. Data Security

We use industry-standard technical and organizational measures to protect your data, including HTTPS encryption in transit, encrypted storage for sensitive data, role-based access controls, and regular security reviews. No system is completely secure; we cannot guarantee absolute security.

7. International Data Transfers

Our servers and many of our service providers are located in the United States. If you access the Service from outside the U.S., your information may be transferred to, stored, and processed in the U.S. or other jurisdictions. We rely on legally recognized mechanisms to protect cross-border data transfers where required.

8. Children's Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have done so, we will delete such information promptly.
